6. AI features and third-party AI processing#
Pruvio offers optional AI-powered features, including AI-generated job reports and summaries, an in-app AI assistant, AI photo analysis, AI voice note transcription, AI pricing extraction from documents, AI-assisted document and dispute letter drafting, and AI-generated portfolio descriptions.
When you choose to use an AI feature, the content you submit for that feature is transmitted to our third-party AI provider, Anthropic, PBC, located in the United States, which operates the Claude AI models. Depending on the feature, the content sent may include job details, photographs you select, checklist and inspection data, client names and contact information, notes, time and expense entries, and documents you upload for analysis.
Anthropic processes this content solely to generate the requested output and return it to Pruvio. Anthropic does not use data submitted through its API to train its AI models, and Anthropic maintains administrative, technical, and organizational safeguards that provide a level of protection consistent with this Privacy Policy. You can review Anthropic's privacy practices at anthropic.com.
Daily Summary. If you enable AI features and keep the Daily Summary preference on, once each morning we send a limited set of your account data for that day to our AI provider (Anthropic) to generate a short written summary of your schedule and outstanding items. The data sent is limited to: your job names, client names, and job statuses for jobs due or overdue; your appointment times and client names for that day; and your invoice amounts and statuses for invoices due or overdue. This processing happens only while AI consent is enabled, and you can turn it off at any time using the Daily Summary toggle in Settings > Features, or by turning off AI features entirely. Anthropic processes this data solely to generate your summary and does not use it to train its models.
7. Photo metadata and precise geolocation#
Photos captured through Pruvio receive a SHA-256 cryptographic hash, along with a timestamp, a device identifier, and precise GPS coordinates. This metadata produces the tamper-evident verification record that is the core of the product.
End customers whose photos are captured by an account owner, for example a homeowner whose property is photographed during a service visit, should be informed by the account owner before capture in accordance with applicable local laws. The account owner is responsible for providing any notice or obtaining any consent required in their jurisdiction.
8. Data retention#
We retain account data for as long as the account is active. After cancellation, data is retained for 30 days to allow reactivation, then queued for permanent deletion. You can request immediate deletion at any time through our data request page or by emailing [email protected]. Some records, such as transaction logs and audit trails, may be retained longer where required for legal or accounting compliance.
9. Security#
We protect data with encryption in transit using TLS and encryption at rest. Every database table is protected by row-level security. Photo integrity is protected by SHA-256 cryptographic verification. We perform regular backups and hash passwords using industry-standard algorithms. No system is perfectly secure, so we encourage you to use a strong, unique password.
